Equipment and vehicle rental

Rental management software for equipment and vehicles

We have built two rental systems for one owner: heavy equipment in Qatar and vehicles in Dubai. Here is what each covers and which parts the second build reused from the first.

Two rental businesses, one owner

We built a heavy-equipment rental platform for a company in Qatar, then a vehicle-rental application for a company in Dubai under the same owner. Both run on a Laravel API, MySQL and a Next.js front end. A client coming back with a second business is the best evidence we have that the first one worked, and those two systems are the whole of our record in this sector.

Rental is a scheduling and billing problem

A rental business has to know which machines are where, until when, at what rate, and who owes what. Spreadsheets stop working once the fleet and the customer list grow, usually because two people can't see the same answer at the same moment.

The heavy-equipment platform, Qatar

The front end is built for office staff. It covers the full cycle from quote to statement:

Vehicles bring their own paperwork and their own kinds of dispute, so this one needed different detail:

What the second build reused

The vehicle application reused the rental-contract and billing core from the equipment platform, which made the second build faster. The parts that differ sit around that core: a machine goes out on a rate card with delivery and return tracking, while a car goes out with a deposit, a fuel level and a condition check. Both need the same underlying answers about availability, contract terms and money owed.

If you run more than one kind of rental, this is the question to ask early: what is really the same across them? Getting that boundary right is what makes the next line of business cheaper to add.

Questions from rental businesses

Do you sell a ready-made rental product?

No. Both systems were built for one owner's businesses, and we don't offer them as a product. If an off-the-shelf rental system already fits how you work, it may be the better choice, and we would say so.

Have you built for other kinds of rental?

Our published rental work is heavy equipment and vehicles. For other assets, the availability, contract and billing logic may still apply, so tell us what you rent and how you charge for it.

What do you rent, and how do you charge for it?

Tell us about your fleet, your rate structure and what you track in spreadsheets today. We will tell you how we would approach it.

We reply within one business day (IST).
